Everything the care team needs, in one place

Tendfuls is built around a single record for one person. Every feature exists to make that record easier to keep, safer to share, and more useful to the people around it.

The unified record

Notes, goals, history and trackers together

Medical history, medications, therapy notes, school observations, goals with progress, and sensory or daily trackers all sit in the same timeline. A note from a teacher at 14:10 appears next to the sleep log from the night before.

  • Structured trackers: sleep, mood, meals, sensory events, behaviour, seizures, custom fields
  • Free-text notes with tags and attachments
  • Goals with measurable targets and progress history
  • Document storage for reports, plans and letters
  • Mum · Sleep 7h 50m, calm morning
  • Ms. Ortega · Transition to class went well, used visual timer
  • Ms. Ortega · Sensory: covered ears at fire alarm test
  • OT · Goal "tolerates 10 min group work": 8 min today
  • Dad · Medication given, no side effects noted

Permissions

Access per person, per data category

The owner of the record grants each team member access to specific categories, and can choose full, summary-only or none for each. Permissions can be time-limited, so a locum or supply teacher's access expires on its own.

  • Categories: medical, medications, notes, goals, trackers, documents, crisis, billing, contacts
  • Full, summary-only, or no access per category
  • Time-limited invitations
  • Change or revoke access instantly, with the change logged

Pattern detection

Insights across everything that's logged

Tendfuls analyses the whole timeline, not one tracker at a time. It looks for what tends to precede a difficult period and which strategies are followed by better outcomes, then shows the evidence so the team can judge it.

  • Trigger candidates with the number of matching days
  • Strategies ranked by what followed them
  • Weekly digest for the owner and chosen team members
  • Every insight links back to the logs it came from

Available on Roots+ and Growth. Insights support decisions; they don't replace clinical judgement.

Trigger candidate: Difficult afternoons logged on 4 of the last 5 days with under 6.5 hours of sleep.
Strategy signal: Visual timer at transitions was followed by a "went well" note in 9 of 11 uses.
Trend: Goal "tolerates 10 min group work" improved from 3 to 8 minutes over six weeks.

Constellation view

See the whole team around one person

The constellation shows every team member arranged around the record, with what each contributes and what each can see. Owners use it to review access at a glance; new team members use it to find out who else is involved.

Transition packages

One-click handover to a new school, clinic or carer

When a person moves to a new setting, the export produces a formatted package: summary, history, medications, goals, what works and what doesn't, the crisis plan, and recent tracking. It's a PDF for reading and a data file for importing.

  • Choose which categories to include
  • Date-range selection for logs
  • Shareable link that expires, or download
  • Full raw export of the entire record at any time

Export options

  • Formatted transition package
  • Complete structured record
  • Trackers for spreadsheets
  • All attachments and documents

Crisis protocols

Urgent information, two taps away

The crisis protocol is pinned at the top of the record for everyone who's been granted it: what a crisis looks like for this person, what to do first, who to call and in what order, and what happened the last three times.

  • Escalation chain with contact details
  • Step-by-step protocol written by the family and clinician
  • Recent event history with what helped
  • Works offline once opened

Crisis protocol · Leo

  • Move to a quiet space, dim lights, reduce speech
  • Offer noise-cancelling headphones and the weighted blanket
  • Do not restrain. Wait, stay visible, count out loud slowly if asked
  • Mum · Dad · Dr. Ruiz (in that order)

Billing

Care-management billing that tracks itself

Providers log time as they work. Tendfuls totals the minutes per person and per code, and generates a superbill at the end of the month with everything needed for claims or invoices.

  • Timer or manual entry on every note
  • Monthly superbill per person, ready to send
  • Codes and rates configurable per provider
  • Export to your accounting or practice software

August · superbill draft

  • Care coordination calls
  • Care plan review
  • Note review and messaging
  • 6h 20m logged · ready to generate
